EENET’s Privacy Policy

EENET promises to take great care with your personal data, and we commit to protecting any personal information we obtain about you, whether you are visiting our website to find information about inclusive education, make a donation, order hard copy materials, request information about consultancy services, sign-up to one of our mailing lists, or find out how else you can support us.

This Privacy Policy sets out how and why we obtain, use and protect personal information.

1. Who are we and what do we do?

EENET – Enabling Education Network – is a global information-sharing network that also provides consultancy services. We are registered in England as a Community Interest Company, CIC, (number 07023142). Our registered office is in Hyde, Cheshire, UK. Postal address: PO Box 422, Hyde, SK14 9DT, UK.

EENET’s purpose is to support education stakeholders, primarily in resource poor countries, to document, publish, share and discuss their experiences of making education more inclusive. We achieve this through three domains of work: exchange, collaborate and influence, in which the activities include publishing and disseminating an annual Enabling Education Review, distributing hard copies of other materials, managing an extensive website and online library, researching and publishing training and other resources, helping people to connect with others working on similar projects, and carrying out consultancy assignments for other organisations. 2. Why might we control and process personal data?

We control and process personal data for a number of reasons:

  • to fulfil contractual obligations e.g. online orders for hard copy materials;
  • to send our network subscribers information about inclusive education publications, projects, advocacy and fundraising campaigns, news, events, job vacancies, etc;
  • to ensure we do not send unwanted information to people who have informed us they do not wish to be contacted.

3. When are you giving personal information and how does EENET use it?

You give us details directly when you:

  • Send us an inclusive education enquiry by email, letter or social media private message: We will keep your name and email address (and any other contact details you supply, such as your organisation’s name and address) in our correspondence files. This enables us to respond to your enquiry, send you electronic or printed documents that help answer your enquiry, and keep a record of your enquiry in case you need to make follow-up enquiries. We will not add you to any electronic or hard copy mailing list, nor send you any correspondence or materials that do not meet the needs of your original enquiry, unless you specifically give us permission to do so.
  • Ask to join the Enabling Education Review hard copy distribution list, by sending us an email, letter, social media private message or by signing up on a paper form during an event: We will keep your name, postal address and email address. This enables us to send you a printed copy of EER each time it is published, and enables us to contact you by email whenever we are legally obliged to ask if you want to stay on the mailing list. We will not send you other communication, only copies of EER and any supplementary materials that are published and distributed alongside EER (such as posters).
  • Fill in an e-mail list sign-up form during a workshop, training or other event run by or attended by EENET: We will use the information provided on the sign-up form to enter your full name and email address into our mailing list (processed by Mailchimp) and you will receive a verification email asking you to confirm that you want to join the mailing list. If you confirm, you will be added to the list and will start to receive our regular emails. If you don’t confirm, you will not be added to the list and will not be sent any emails.

When do you give us details indirectly?

EENET is a small organisation and therefore we use third party providers for most of our online services.

  • Online sign-up for email lists: When you sign up via our website to join one of our email lists, your personal details are processed by Mailchimp. EENET has access to data, which includes your full name, email address, computer IP address, region and time zone. Read Mailchimp’s privacy policy for more information. EENET maintains a back-up copy of the mailing list, containing only full names and email addresses. EENET uses the mailing list data to send you the email updates you have signed up for, and to locate your records if you want to be removed from the list in future. We only use the email lists for sending relevant inclusive education updates (on average once a week) and we will never share the list with other parties.
  • Online sign-up to online courses: When you sign up to participate in one of EENET’s online courses through our LearnLink platform, your personal details are processed by LearnDash. EENET has access to data, which includes your full name, email address, computer IP address, region and time zone. We only use this information to send relevant information about the online course and you will not automatitcally be added to any other EENET mailing list.   • Online donations: When you make an online donation to EENET via our website or Facebook page, your transaction and personal data is processed by PayPal. EENET has access to information such as your name, email address and the amount you donated. We do not have access to any other information regarding your donation, such as credit card details. Please read PayPal’s privacy policy for more information. EENET keeps records of all donation transactions for accounting purposes only and will never share donation information with other parties, unless you specifically ask to be publicly acknowledged as a donor, in which case we will discuss with you what details you want to share.
  • Online ordering of printed materials: When you order printed materials from EENET’s online shop, Woo Commerce process your transaction and personal data. EENET has access to your name, address, telephone number, email address and amount you spent. We do not have access to any other information regarding your payment, such as credit card details. Please read Woo Commerce’s privacy policy for more information. EENET keeps records of all shop transactions, for order processing, accounting and stock control purposes only. EENET uses the information you provide to send you confirmation or tracking information, to send the items you have ordered, and to deal with any queries about the order or shipping. We will not use your personal details to send you any communication that does not relate to your order, and we will not share your details with other parties.
  • Social media: When you communicate with EENET via social media (such as Facebook, Twitter, LinkedIn and Instagram) some of your personal data may be visible, depending on your privacy settings. You should regularly check your social media privacy settings and make appropriate amendments.

4. How long will we hold your personal data?

We will retain your information for as long as you have an active relationship with EENET. If you cease to have an active relationship with us or request to receive no further contact, we will remove you from whichever one or more contact lists you are subscribed to. We will remove you from any list within 7 days of receiving your request. You will be able to request to be added back onto one or more contact lists again at any time in the future.

5. How do I request updates to my personal data or removal from your database(s)?

Our ability to function effectively as an information-sharing network is greater when subscribers keep their contact details up-to-date. You can send us any amendments to your names and contact details via email, letter or social media private message. See contact details below.

If you no longer wish to subscribe to one or more EENET email lists, you can unsubscribe online via Mailchimp (look for the ‘unsubscribe’ link in one of the emails we have sent you). Or you can contact us by email, letter or social media private message to request removal from the email list(s). If you no longer want to be on the EER hard copy distribution list, you can contact us by email, letter or social media private message to request removal.

6. Data security and access

We take security of your personal data very seriously. Access to mailing list data is restricted to those staff, volunteers or consultants who are directly responsible for managing our regular mailings. Access to data collected through email/letter enquiries or contact forms is restricted to staff, volunteers or consultants who are responsible for answering information queries. Access to data shared via social media will depend on how the message was sent (public or private message) and on your own privacy settings. Any messages sent via private messaging will be accessed only by staff, consultants and volunteers responsible for managing EENET’s social media. No personal data held by EENET is ever shared to or processed by third party organisations or individuals in the UK, Europe or any other country. Our email and website servers are hosted and maintained outside the UK and Europe (hosted in the USA and maintained in Indonesia, Australia and UK).

You can request to see the personal data that we hold on you by contacting us at the details below. Please note that as EENET is a voluntary organisation, our turnaround time for such queries is 4 weeks.

7. Cookies

Cookies are files with small amount of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a website and stored on your computer’s hard drive. Like many sites, we use cookies to collect information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our site.

9. Changes to this privacy policy

This version of the policy was released on 01 January 2021We reserve the right to update or change our Privacy Policy at any time and you should check this Privacy Policy periodically. Your continued use of our service after we post any modifications to the Privacy Policy on this page will constitute your acknowledgement of the modifications and your consent to abide and be bound by the modified Privacy Policy.

If we make any material changes to this Privacy Policy, we will notify you either through the email address you have provided us, or by placing a prominent notice on our website.
